A NOTICE REGARDING COVID-19 and the CANCELLATION of our 2020 Ottawa Conference

Hello everyone,

Cancellation of Ottawa 2020 Conference

It is with regret that I write to confirm that the CAPSLE Ottawa conference scheduled for April 26-28, 2020 has been cancelled due to the COVID-19 crisis.    CAPSLE has an obligation to our members, to both our and the Delta’s employees, and to the general public to take action to reduce the potential transmission of this dangerous virus.  Unfortunately, it is simply not possible for the conference to take place as scheduled while meeting that obligation.

I apologize for the lateness of this notice.  Please know that it was not because the CAPSLE Board or the Conference Organizing Committee were not mindful of the serious nature of the COVID-19 crisis. We were.  However, it was not until yesterday that we received confirmation from the conference venue that we could cancel the conference without incurring significant financial penalties under the contract.  We have spent much of the last several weeks negotiating for that outcome while taking every measure possible to protect CAPSLE.  We are thankful that we were able to arrive to an amicable resolution.

Reservation cancellations

Please note that it appears that all hotel accommodation reservations made at the Delta Ottawa City Centre under the CAPSLE block of rooms have been cancelled by the Delta, but you will want to check your reservation listing yourselves to ensure that your room booking has been cancelled.  You must also cancel your own air and other transportation reservations.

Reimbursement of registration fees

CAPSLE will be reimbursing all conference registration fees.  However, as amazing as Lori is, it may take a little while for her to work through all the refunds that remain to be completed. If you have not received confirmation of your refund within the next two weeks, please reach out to let us know.   In the meantime, I want to ask each of you to consider maintaining your CAPSLE membership rather than seeking a refund of that portion of your conference fees.  Those membership fees are particularly important this year in order to support CAPSLE’s operations when we will not have the usual conference revenues to offset our costs.  I can assure you that we will be working particularly hard this year to bring you added value for that membership, including a planned effort to deliver a more robust schedule of webinars for CAPSLE members starting in the fall of 2020.

Virtual AGM – May 2, 2020 at 2 p.m. Eastern Time

One additional complication that the conference cancellation has caused is that the AGM has also been affected.  Thankfully the CAPSLE by-laws allow for a virtual AGM, and that is how we are going to proceed.  You will soon see an official Notice of AGM circulated, but I can confirm that we hope to hold the virtual AGM on May 2, 2020 at 2 p.m. Eastern Time, likely using the same ZOOM platform that we have used in the past for webinars.  Please block that date and time in your calendars so that you can participate.  As usual, the agenda will include receipt of the CAPSLE audited financial statements and the election of a new Board of Directors, the latter of which is particularly crucial as we continue to work through the consequences of the conference cancellation.

Thank you

I want to take a moment to sincerely thank the members of the Board for their hard work and wisdom over the past weeks as we addressed this difficult situation, and particularly to thank the members of the conference organizing committee, led by Sophie Arseneault, for all their time and efforts over the past many months.  I also want to thank the planned conference presenters and sponsors.  It is truly unfortunate that their efforts could not come to fruition, but we very much appreciate their hard work and support, and their dedication to CAPSLE.

And finally, I want to thank each of you for your understanding and your patience.   We will keep you informed of any new developments over the next few weeks. In the meantime, please stay safe and well, and take good care of yourselves and your loved ones.
